Begin with the address, any known UPRN and the organisation's authorised relationship to the property. Treat a matched identifier as an identifier—not proof of ownership, title or completeness.
Capture the evidence trail
For each material record, retain who supplied it, when it was received, the document date and whether a newer or conflicting version exists.
- Property photograph and approved description
- Title and lease material for professional review
- Current certificates and inspection evidence
- Floor areas and their measurement source
- Contacts, responsibilities and access boundaries
- Known missing, uncertain or superseded items
Finish with access and next actions
Decide which information remains private, which advisers need scoped access and whether any fields are approved for public projection. Record outstanding evidence as an explicit gap rather than presenting the record as complete.
